Our client is one of the largest private alternative investment managers in Africa. They manage investments in private equity, infrastructure and a range of impact funds. They have a super smart team based in SA and Africa and manage a significant number of active funds and invest in a very large number of portfolio companies.
They now seek an executive PA to report to the chief executive officer (CEO).
This role is suitable for appropriately qualified affirmative action candidates.
JOB DESCRIPTION WILL INCLUDE BUT NOT BE LIMITED TO:
- You will be responsible for ensuring the smooth operation of the executive office.
- You will be required to provide comprehensive administrative support to the chief executive officer (CEO) and chief operating officer (COO), handling a wide range of tasks. This includes managing and maintaining executive calendars, coordinating meetings and travel, preparing reports, presentations, assist with planning and executing of special projects and events and handling confidential information with discretion and professionalism;
- You will be required to be highly organized, proactive and capable of managing multiple tasks with precision and efficiency;
- Administration:
- You will be required to produce, update and provide best practice support on a wide range of Microsoft documents, databases and other departmental systems;
- Business meetings / events arrangement:
- You will be required to schedule appointments, make arrangements for meetings and
- conferences, and organize travel plans, following instructions to ensure more senior colleagues or a senior executive make the best use of their time;
- Correspondence:
- You will be required to prepare routine letters, email, minutes of meetings and reports for approval by more senior colleagues or a senior executive;
- Document preparation:
- You will be required to prepare moderately complex documents using a variety of applications for technology devices, such as standard office software;
- You will be responsible for gathering and summarizing data for reports;
- Work scheduling and allocation:
- You will be required to design own monthly schedule and if necessary, assign work to others in order to speed up office workflow and ensure high priority tasks get done;
- Data collection and analysis:
- You will be required to produce accurate reports for others by collecting data from a variety of standard sources and inputting it into standard formats:
- Insights and reporting:
- You will be required to extract and combine data to generate standard reports;
- Budgeting:
- You will be required to monitor and analyse data using budgeting systems and protocols;
- Personal capability building:
- You will be required to develop and maintain excellent process or technical skills by participating in assessment and development planning activities as well as formal and informal training and coaching;
- Operational compliance:
- You will be required to develop working knowledge of the organization’s policies and procedures and of regulatory codes and codes of conduct relevant to own work, adhering to mandatory procedures to ensure own work is undertaken to the required standards;
- Procurement:
- You will be required to support others by carrying out procurement tasks. Involves following established procedures.

CORE QUALIFICATIONS AND EXPERIENCE:
- You have a bachelor’s degree or equivalent experience in a related field;
- You have a minimum of 8 years current, relevant proven experience as an executive assistant or in a similar role and in either financial services; management consulting or a highly respected company – ;
- You are proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook);
- You have the ability to work independently and handle multiple tasks simultaneously;
- You have experience with travel coordination and event planning;
- You have experience with project management – this is beneficial;
- You are familiar with financial reporting and budgeting;
- You have knowledge of the investment industry – this is highly preferred.
You are well presented; articulate, superbly organised; have great EQ and IQ and are systems savvy. This is a very big, pressured role.
