Our client is one of the largest South African primary listed REIT’s and is well on its way to becoming a leading international property company.

They now seek a portfolio manager to join their team. You will report to the regional head: Western Cape. Exciting important role!. The role is based in Cape Town and oversees 31 office buildings and office parks in the Southern Suburbs (around 160,000 sqm GLA). It’s a permanent position, reporting to the Regional Head and GM.. We are looking for a candidate with proven commercial property portfolio management experience.

 

JOB DESCRIPTION WILL INCLUDE BUT NOT BE LIMITED TO:

  • You will be required to maximize the performance and value of the portfolio through strategic and operational planning;
  • You will be required to provide leadership, mentorship and guidance to the team and ensure team members perform and are developed to the best of their abilities;
  • You will be required to ensure that clients receive a high standard of service delivery and that buildings are well maintained;
  • You will be responsible for financial management:
    • You will be required to oversee the preparation of financial budgets, strategies and plans, to monitor and control income and expenditure according to business objectives;
    • You will be responsible for Capex:
      • You will be required to monitor major capex projects and ensure that they are accurately budgeted and forecasted;
      • You will be required to ensure capex projects are undertaken in line with procurement policies;
      • You will be responsible for forecasting and accruals:
      • Accruals are raised as required with clear understanding and explanation of same.
      • Verify accuracy of monthly forecasting with specific emphasis on major movements and utilities and recoveries.
      • Full oversight of all in line with approved methodology to improve recoveries on all utilities.
      • Oversee all functions related to debtor management including supervision of collection of rental and collection of arrear rental, negotiations regarding financial arrangements with tenants and liaison with attorneys when required.
    • You will be required to ensure accuracy of all financial and management reports for the portfolio and provide overview in the form of a monthly;
  • You will be responsible for KPI management:
    • Draft and drive implementation of strategy for the portfolio.  Strategy to deal with initiatives to ensure KPI’s of the portfolio are met;
    • Manage portfolio net income vs budget;
    • Manage property leasing to minimise vacancies;
    • Develop and implement tenant retention strategy for portfolio. Ensure relationships are built and maintained with tenants;
  • You will be responsible for leasing:
    • High level lease negotiations taking a strategic view for the short and long term;
    • Planning for major vacancies and the replacement of same well in advance;
    • Ensure implementation of the leasing strategy approved and continuously update as the portfolio changes;
    • Prepare feasibilities and spend to be conducted on leasing deals and/or projects;
    • Ensure offers to lease and/or lease agreements are correctly drafted and signed in line with the company’s levels of authority;
    • Implementing a tenant retention strategy (focus on tenant retention);
  • You will be responsible for risk management:
    • Ensure full adherence to the OHS requirements as outlined by the national facilities manager and/or risk and compliance officer to minimize risk across the portfolio;
  • You will be responsible for people management:
    • Ensure training plans are implemented across the portfolio;
    • Succession planning, including identifying employee development;
    • Ensure recruitment is done in line with the transformation policy;
    • Determine human resource requirements and manage staff;
    • Develop and implement strategic plans with objectives and direct the team accordingly;
    • Provide leadership and guidance to the team;
    • Set clear performance targets for the team and take appropriate action where performance standards are not being met.
    • Ensure performance management is done in a consistent way throughout the portfolio.
    • Performance management – identify areas where team members require additional support, training, or resources to improve performance;
  • You will be responsible for reporting:
    • Report on portfolio’s performance: monthly income & expense statements, administration, leasing, vacancy reports, arrears, capital projects, facility management and risk items and interpretation of variances;
    • Produce high-level executive summary;
    • Ensure a high standard of reporting;
    • Ensure reporting results in actionable insights by identifying key trends and areas requiring improvement;
  • You will be responsible for the budget:
    • Manage and oversee budget process in line with portfolio strategy and growth objectives;
  • You will be responsible for other:
    • Ensure policies and procedures are implemented consistently;
    • Initiate refurbishment and development opportunities within the portfolio;
    • Due diligence in relation to property sales and acquisitions as guided by the asset management;
    • Ensure that all buildings comply with all building regulations in conjunction with facilities management;
    • Build and maintain relationships with key players in the property industry.
  • You will be required to liaise with all internal stakeholders;
  • You will be required to liaise with external co-owners, brokers, external suppliers;
  • You will be responsible for decision making and problem solving:
    • Balancing strategic foresight with day-to-day operational management, ensuring that portfolio decisions align with overall business goals;
    • Problem-solving requires a mix of analytical skills, financial acumen and interpersonal expertise, with a focus on optimising property performance and ensuring long term value creation.

CORE QUALIFICATIONS AND EXPERIENCE:

  • You have a relevant degree in property management and financial management
  • You are PPRA compliance;
  • You have a minimum of 5 years current, relevant property management experience;
  • You have proven people management experience;
  • You have sound knowledge of the business environment, the relevant role players within the business and their key responsibilities and outcomes i.e. Industrial market indicators;
  • You have financial accounting principles;
  • You have knowledge of Industrial leasing principles and lease agreements;
  • You have financial, marketing, administrative and technical components of Industrial buildings;
  • You have basic technical knowledge of buildings e.g. electrical, plumbing and construction, and fire regulations;
  • You have knowledge and understanding of industry related legislation i.e., Consumer Protection Act, OHS Act;
  • You have in depth knowledge of lease agreements, rental arrear collection process, drafting of special lease conditions, understanding of conveyancing process, suretyships, legal entities;
  • You have knowledge of sale / purchase agreements;
  • You have an understanding of financial statements, budgeting and variance reporting;
  • You have sound technical and operations knowledge and understanding.
